Maintain agreed corporate records, registers, resolutions and relevant beneficial-ownership information so documentation reflects current corporate actions and ownership information within the agreed scope. The company and its directors remain responsible for ensuring relevant beneficial-ownership information is accurate and addressed under current SSM requirements.

A change of company secretary generally involves the appropriate appointment and cessation documentation, handover of company records and applicable notifications or lodgements. If the outgoing secretary is the company's only company secretary, replacement must respect the applicable statutory timing. Any proposed FSV appointment is subject to review of the company and handover circumstances.
Under the current Malaysian company framework, a local company's annual return is generally lodged within 30 days after the anniversary of incorporation. The annual return is separate from financial-statement filing, which follows its own requirements and timeframe.
A Malaysian company must maintain a registered office in Malaysia, which is not necessarily the same as its ordinary business premises. Availability and the exact scope of any FSV registered-office address and mail-handling support should be confirmed in the agreed scope.
Tell the company secretary about relevant changes involving directors, shareholders or shareholdings, share capital, the registered office or other company particulars, business details where relevant, beneficial-ownership information and other material corporate actions. The documentation or lodgement depends on the type of change and the company's circumstances.
